Examination Information for Module Co-ordinators

Submission of exam papers

Deadlines for the submission of exam papers may be found in the documents Schedule of Key Dates for Undergraduate Students and Schedule of Key Dates for Postgraduate Students. Adhering to the schedule is vital: once with Student Administration papers must be checked, if necessary returned to the author for amends, sent to Publication Services for copying, stapling, etc., returned to Student Administration then sorted and separated into envelopes for different rooms. This is an extremely time consuming procedure: any delay can cause numerous problems.

Please note that we will accept re-sit papers at any time of year and prefer that you submit re-sit papers along with first opportunity papers.

Please ensure that your paper corresponds with the details agreed with the Board of Examiners and check the mode of submission with your Departmental Office.

You must use one of the following templates for the first page of your exam paper, and complete the  submission form (which forms the first page) along with it.

·          Exam Paper Submission Form
(for papers that are to be answered in answer books)

·          Exam Paper Submission Form
(for papers that are to be answered on the exam paper itself)

·          If you require a separate template for the submission form, please use this one: Exam Paper Submission Form

Exam papers should be submitted along with a submission form to Julie Clough in Student Administration (j.clough@leedstrinity.ac.uk).

Candidates are supplied with lined answer books. Other items such as Bibles, graph paper, etc., may be supplied by Student Administration at your request. Please note that candidates are permitted to use calculators unless you specify otherwise.

Common problems with exam papers

  1.

    1.                   Template not used
If you have not used the template Student Administration staff will email you and ask you to resubmit the paper using the appropriate template.

    2.                   Module code/semester number/re-sit period missing
Ensure that the correct module code, semester number and re-sit period (as appropriate) are clearly displayed as in the template.

3.                   Page numbers missing or in wrong format
Please ensure page numbers appear in the footer, as in the template. If you need to add them in manually do the following:

* On the menu bar go to View then choose Header and Footer.

* Move to the Footer section then use Insert Auto Text to add the page numbers in the format Page X of Y

4.                   No space for candidate and seat numbers where questions are to be answered on the paper
Use the second template which contains spaces for candidate and seat numbers.

5.                   No lines for candidates to write on
Some papers require candidates to write on the paper. If this is the case please include lines rather than leaving a blank space.

6.                   One page is to be written on, but the rest of the paper should be answered in answer books
Where this is the case candidates should hand in the entire question paper. Please use the second template which includes the space for candidate and seat numbers. Add text to state which questions should be answered in answer books and which on the question paper.

7.                   Paper not proofread
Please ensure your paper is fully proofread. It is not the responsibility of Student Administration to check exam papers for spelling or content, however if errors are noticed the paper will be returned to you for amending.

8.                   Microsoft Word’s automatic numbering has gone awry
Please check that the numbers are consecutive and that the number of questions corresponds to that mentioned on the exam paper front sheet.

9.                   Multiple choice answers split across pages
Please take the whole question and all answer choices over the page.

10.               [END] missing
The word [END] should appear at the end of the paper.

Examination Day

On the day of the exam you should be present for the first ten minutes of the exam to assist with any queries related to the paper.

After the exam

Please allow one hour after the exam end time to collect answer books from Student Administration. Please ensure that you have all answer books related to your exam (exams may be split across exam rooms). Please sign and date the collection sheet before removing the answer books from Student Administration.
